Create processes and make your business run smoothly

3 October 2026 · consulting & strategy

Quotes that go out late, information lost between two colleagues, tasks done twice… In many businesses, the problem is not a lack of skills but the absence of clear processes. A process is simply the way a job gets done, written down once and for all.

Why formalise your processes?

  • Save time: no more reinventing the wheel every time.
  • Reduce errors: everyone knows what to do, in what order and with which tools.
  • Guarantee quality: your customers receive the same level of service, whoever handles it.
  • Cope with absences and new arrivals: a new team member is up and running much faster.
  • Prepare for automation: you can only automate what is clearly defined.

The five-step method

1. List your recurring tasks

Onboarding a new client, quotes, invoicing, reminders, social media posts, backups… Identify the ones that come round every week or every month.

2. Describe how things are done now

For each task, note the steps, the person responsible, the tools used and the time spent. This is often when duplicated work and wasted time come to light.

3. Simplify

Remove unnecessary steps, combine those that can be combined, and prepare templates (e-mails, quotes, contracts, visuals).

4. Automate what can be automated

Invoice reminders, replies to simple enquiries, scheduled posts, document filing, automatic backups of your data and website to an external server: many tasks can now be handed over to tools, and increasingly to artificial intelligence assistants.

5. Share and improve

Gather your processes in a simple document accessible to the whole team, and review them regularly: a living process improves with experience.

A real-world example

An enquiry comes in through the website form. It is automatically recorded in your customer database, a personalised acknowledgement goes out within a minute, a reminder is created for the person handling the quote, and if the quote is still unanswered after ten days, a polite follow-up is sent. Nobody had to think about it, and no prospect is forgotten.

We are here to help

We help small and medium-sized businesses map their processes, simplify them and then automate repetitive tasks, including with artificial intelligence tools, so you can devote your time to what really matters: your customers.
